Albany - Sponsored Programs Financial Administrator
Description of Duties:
The incumbent duties include, but are not limited to: provide day to day sponsored program administrative and analytical support for pre-award activities to include but not limited to: assisting with proposal submissions, reporting to sponsors, contract administration, research compliance and metrology cost center. In addition, Incumbent is expected to work collegially with other SUNY Polytechnic Institute (SUNY Poly) administrative offices to ensure a seamless process is carried-out for a research support system for funded projects.
The application development/submission process will involve understanding sponsor guidelines, preparing budgets for faculty/staff submitting applications, understanding requirements of the proposed submission, and collecting/uploading documents. Incumbent will assist in reporting to include: generating reports from ORACLE software, preparing financial reports, and monitoring reports due schedule. Contract administration assistance involves the following: monitoring awards for extensions/renewals, tracking and monitoring of subawards and providing assistance with the administration of several large centers. Incumbent will assist in tracking and record keeping of research compliance items. Additional responsibilities will include assisting with the metrology cost center, such as generating quotations to outside users, maintain the budget for the center, and tracking usage/billing. Incumbent will be part of the administrative team responsible for ensuring compliance with all sponsor, RF, SUNY, and SUNY Poly policies related to program administration. Incumbent will also provide post-award financial analysis and support. The individual will review and analyze requests to ensure that the expenditures are appropriate, allowable, within budget limits, and paid in a timely manner. In addition, Incumbent must ensure that expenditures processed are appropriately documented and in accordance with all applicable regulations. Incumbent will work closely with Project Directors and project administrative staff to provide assistance and guidance on processes and the application of policies and regulations.
Also, the incumbent will be assigned to provide coordination and assistance for incoming programs to ensure the successful transition and integration of the program administrative and financial needs into the existing SUNY Poly sponsored programs administrative organization. Incumbent will be responsible for developing reports and tools to assist management in monitoring the program transition.
Further, the incumbent will contribute to special projects related to SUNY Poly autonomy initiatives, assisting with the development of SUNY Poly sponsored programs administrative policies and procedures, and the outreach coordination, content development and training of constituent groups regarding these policies and procedures. Other reasonable duties as assigned.
This position requires a bachelor’s degree in business administration or a related field from a college or university accredited by the U.S. Department of Education or internationally recognized accrediting organization OR equivalent relevant professional experience AND a minimum of 2 years professionally responsible experience. Candidates must have a working knowledge of the MS Office suite and excellent communication skills both verbally and in written form. Incumbent must posses the abilities work independently; prioritize demands in a fast paced environment; and interpret and apply laws, regulations, and policies pertaining to the administration of sponsored programs. This position is contingent on the satisfactory completion of a background investigation; this position may be subject to annual background investigations. Experience in higher education and grants management is preferred.
